How to Make a Bill

  • 1). Include the date of the transaction at the top of the document. The date is important both for tax purposes and for any guarantee that may come with the product. For instance, if a car comes with a one year warranty, the bill of sale can prove when the transaction took place and whether the vehicle is still under warranty.

  • 2). Record the name and address of the seller of the item. You should also include general contact details such as phone number, email address and correspondence address (if different from the residential address.)

  • 3). List the name and address of the buyer and contact details, such as cell phone number and email address. Clearly indicate which party is the buyer so ownership of the item is not left ambiguous.

  • 4). Describe the item that has been sold. This is crucial as the condition of the item may be anything from new to old and damaged. For instance, if the bill of sale is for a car, record the kind of car, the year it was made, any dents or paint damage and its serial number. Write down anything that would normally be included that is excluded from the terms of the sale. For instance, if a car is being sold without wheels or tires, this should be recorded to save future disputes.

  • 5). Stipulate that the bill of sale constitutes a warranty and that no additional warranties or agreements can overshadow the bill.

  • 6). Record the price of the item. Indicate whether the transaction was concluded with a cash or check payment or via credit card. State on the bill that the amount has not been paid in full if a credit agreement has been set up for reimbursement. Include any penalty clauses that the buyer may incur if they fail to meet their monthly payment installments.

  • 7). Get the signatures of both the item seller and the purchaser. This will legally verify that both parties agree with the terms listed in the document.
