How to Print a Page to Email Options in QuickBooks Pro

    Send QuickBooks Forms

    • 1). Select "Edit," then "Preferences" on the Top menu to edit email preferences.

    • 2). Select "Send Forms" from the left menu and select the "My Preferences" tab.

    • 3). Select the check box label "To be mailed" to designate that if a customer's account has a selected preferred send method of email, this option will be automatically checked when you enter a form for that customer.

    • 4). Select the "QuickBooks E-mail" radio button if you do not use Microsoft Outlook as your email client. You will send your emails using the QuickBooks server. If you do use Outlook, leave the "Outlook" radio button selected.

    • 5). Click the "Company Preferences" tab.

    • 6). Select the pull-down menu next to "Change default for." Select any form to change the default wording in the email for that form. You can also edit or add notes to the email when you send it. Click the "OK" button.

    • 7). Select "Customers," then "Customer Center" on the Top menu to add a new customer. On the Top menu in the customer center, select "New Customer & Job." In the pull-down menu, select "New Customer." Fill in all the fields you wish to use.

    • 8). Select the "Additional Info" tab in the "New Customer" window, look for "Preferred Send Method" and select "E-mail" to set up a new customer you prefer to send correspondence by email. Click the "OK" button.

    • 9). Enter any form for a customer and click the "To be e-mailed" check box in the lower left corner to designate that an email is to be sent. You can enter as many forms as you want.

      Select "File" on the Top menu, and then select "Send forms..."

      Edit an individual email before sending the forms by pressing the "Edit E-mail" button. This opens a new window. Edit the text and select the "OK" button. Note the convenient "Edit Default Text" button on this window.

      Select all the forms you would like to send, and then click the "Send Now" button.

      Send the form right away by clicking the "Send" button on the menu above the form when you enter it. This will open an email window. If you want to edit the text in the email, do so, then click "Send."

    Send QuickBooks Reports

    • 1). Send a report by clicking the "E-mail" button directly above the report. A pull-down menu opens.

    • 2). Select either the "Send report as Excel" or the "Send a report as PDF" option.

    • 3). Edit the text in the mail client email window to your personal preferences if needed. Note that the PDF or Excel document is attached to the email. Click the "Send" button.
